Affordable Custom ERP for Hong Kong SMEs

Custom business system illustration for Hong Kong SMEs

Ask most Hong Kong SMEs about a custom ERP and the reaction is the same: that is for companies with an IT department and a seven-figure budget. The word earned that reputation, and the pricing of the big-name suites is the reason. What has changed is that an integrated business system no longer requires a licensed product, and the cost gap is now wide enough that companies with 20 to 200 staff are a sensible fit.

Why ERP Has a Reputation Problem

Traditional ERP is sold as a licence plus a project. You pay per user, per module, or both, then pay a systems integrator to implement it, then pay annual maintenance for as long as you use it. Implementation runs for months, and the cost of changing your mind later is high enough that most businesses adapt their processes to the software instead.

That model suits a listed company. For an SME, the licence is often the smallest line item.

What a Custom ERP Actually Covers

An ERP is not one product, it is a set of modules reading from a single database. That is the whole point: quotations, stock and accounts stop contradicting each other because nobody is re-keying the same information into three places.

  • Sales & CRM — leads, quotations, sales orders and delivery, connected to live stock and pricing.
  • Purchasing — supplier records, purchase orders, goods receipts and supplier bills.
  • Inventory & Warehousing — stock by location, transfers, barcode scanning and reorder points.
  • Accounting & Finance — receivables, payables, bank reconciliation and reports aligned to Hong Kong tax requirements.
  • HR & Payroll — employee records, leave, attendance and MPF contributions, built the same way we build custom HR management systems.
  • Reporting & Dashboards — margin by product, sales by outlet, cash position, on screens your managers actually look at.

You do not have to start with all six. Most SMEs begin with the two or three modules causing the most pain and add the rest once the first ones are running.

Built on Odoo 19

The system runs on Odoo 19 Community Edition, a mature open-source enterprise platform with the functional depth that used to be exclusive to licensed ERP. Because the platform itself is open source, there is no per-user licence to buy and no vendor deciding which modules you are allowed to have. What you pay for is the configuration: your product structure, your approval rules, your documents, your reports.

Where It Runs: On Your Own Premises

Most ERP is rented from somebody else’s data centre. This one is not. We install it on a machine inside your own office — Linux and Docker, with the application, the PostgreSQL database and the Nginx web server running as separate containers — and your team reaches it over your own network.

  • Your data never leaves the building. Customer records, salaries, MPF data and financials sit on hardware you control. Nothing is uploaded to a vendor’s cloud, and nothing is sent to a public AI model.
  • No software licence. The platform is Odoo 19 Community Edition, which is open source, so there is no per-seat licence to buy on top of the monthly fee.
  • Not dependent on your internet line. Day-to-day work runs over your own network, and it keeps working when the broadband does not.
  • Open source, so no lock-in. The platform and the custom modules are yours to inspect. No vendor can switch your system off or hold your data to ransom.
  • One machine, standard parts. Everything runs in Linux containers (Docker), so the system is portable — it can be backed up, moved, or rebuilt on replacement hardware.

You do not need a server room or an IT department: we set up the machine and maintain it as a managed service.

What It Costs

The pricing model has two parts. A one-off setup fee covers configuring and customising the system for your business and installing it on your own machine. After that a monthly fee covers ongoing support, maintenance and updates.

ERP is the deep end, so it is priced by scope rather than by a flat entry fee: the degree of customisation your processes actually need, together with the modules and users involved. We quote that before any work starts. If you would rather begin smaller, the usual first step is HR and payroll — configuration rather than custom development — and then move into sales, purchasing and inventory once the first stage is paying for itself.

What you never pay is a software licence: Odoo 19 Community Edition is open source, so there is no per-seat licence on top.

The practical difference is the shape of the commitment. You are not buying a licence you cannot return and hoping the project lands; you pay for a system to be built and looked after, on hardware you own, for as long as it is useful.

Who This Suits

It fits SMEs that have outgrown spreadsheets and single-purpose apps — typically a sales team quoting from one file, a warehouse updating another and accounts reconciling both at month end. Retailers, wholesalers, distributors, trading companies and small manufacturers usually recognise the pattern immediately. If your staff already spend time copying data between systems, that is the signal.

Migrating Without Disrupting the Business

Nobody can pause operations to change systems. We import your existing master data — customers, suppliers, items, opening balances — and phase the rollout so each module goes live when the team is ready for it. If you already outsource your IT support, the new system fits into the same arrangement instead of becoming something else to manage.

Next Steps

We will map your current workflows, identify which modules would pay for themselves first, and give you a clear picture of the setup fee and the monthly fee before you commit to anything.
